User Need
As you use the application, your financial priorities may change: a business rebrands, a family decides to save for a major new purchase, or you need to update your expense structure.
The Budget Settings module allows you to manage the global parameters of your workspace. You can easily rename the budget, choose a new visual icon, set financial goal parameters, or fully initiate the process of deleting the space if it is no longer relevant.
Available only for Admins Access to the workspace settings is strictly centralized. Only users with the Admin role can change the name, icon, financial goal, and the global order of categories. Participants with the Member role have read-only access to these settings.
Where to find it
UI Path: Go to the Money tab in the bottom navigation bar -> Tap the card of the desired budget -> Tap the gear icon (Settings) in the top right corner.
You can also access the settings from the main budgets screen: enter edit mode (by tapping the floating pencil button) and tap the pencil icon on the card of the desired budget.
Steps: How to change budget settings
The Budget settings menu consists of several sections. To change the core data, follow these steps:
Changing the name and icon
- On the settings screen, select About budget (with the info icon).
- To change the name, enter the new text in the mandatory Budget Name field.
- To change the icon, tap the Select icon field and pick a suitable option from the bottom sheet that opens.
- Tap the main Save button at the very bottom of the screen to apply the changes.
Setting a financial goal
- In the settings menu, select the Financial Goal section (if available).
- Enter the desired savings amount (Goal amount).
- Specify the goal currency (Goal currency) and the planned achievement date (Goal date).
- The system will dynamically calculate your progress based on the entered data.
Deleting a budget
- While on the main settings menu screen, tap the dangerous action Delete budget (red text).
- In the appearing Delete budget? modal window, read the warning.
- Confirm the action by tapping the red Delete button (or Cancel to abort).
- A secure 48-hour deletion timer will start, and a red Deleting… timer will replace the transition icon on the budget card on the main screen.
Expected Result
- When saving: Tapping the Save button replaces its text with a white loading indicator. After a successful save, the screen closes, and a green popup notification (Toast) Budget settings updated appears at the top.
- When deleting: A background secure deletion task is triggered. The budget enters a “Read-Only” mode for all members. A green Toast Budget deletion requested appears. During this time, any attempts to change settings will be blocked.
Frequently Asked Questions (Q&A)
Why can’t I see the gear (settings) icon in my budget? The settings icon is only visible to users with the Admin role. If you are a Member, your rights are limited: you can view the budget, create transactions, and explore analytics. Ask the administrator to upgrade your role if you need to change settings.
How can I change the icon or name of my budget? Open the budget and tap the gear icon in the top right corner to access Budget settings. Select About budget. Enter a new name in the Budget Name field and tap Select icon to choose a new visual identifier. Tap Save to apply the changes.
If I change the order of my expense categories, will it change for my partner too? Yes. Unlike the order of budgets (which is strictly personal), the order of categories inside a budget is global. When an Admin changes the category order, it syncs and updates for all members of that space.
Can I set my Financial Goal in a different currency than my daily expenses? Yes. The financial goal has its own dedicated currency setting. For example, you can track all daily expenses in Leva (BGN), but set a goal to save for a house in Euros (EUR). Small Metrics will automatically calculate your progress using real-time exchange rates.
I am an Admin, but the budget settings are grayed out and I can’t edit them. Why? If you or another Admin recently requested to delete this budget, the entire workspace enters a 48-hour Read-Only mode for security. You must tap Cancel Deletion on the main budgets screen to restore write access.
Possible Errors
When filling out the fields, client-side validation may prevent saving and show red text below the fields:
- Required: Appears if you try to save settings with an empty budget name.
- Max 100 characters: Occurs if the length of the entered name exceeds the system limit of 100 characters.
Server errors (API):
- You do not have permission to perform this action: 403 Forbidden error. The standard server response if a user with the Member role (or an admin in deletion mode) tries to bypass the interface and send a direct request to save settings.
- Category with this name already exists: 400 Bad Request error. Appears if, when managing categories in settings, an admin enters a name that is already taken in that income or expense type.
