How do you use Workflowy for GTD and is there a real workflowy dark mode?

I just started with the workflowy app and I am confused. I want to try gtd with workflowy or maybe a bullet journal workflowy style, but I do not know which workflowy template to use. Also, does anyone know how to enable workflowy dark mode or find a good workflowy alternative like dynalist vs workflowy? I need help with my workflowy gtd setup.

Best ideas for simplifying your workflow

Based on user answers and comments

Excessive nesting and complex structuring in tools like Workflowy can lead to mental clutter and a feeling of being trapped by the system. Instead of searching for the perfect template or building overly deep lists, it is more effective to use simpler tools and workflows. Reducing complexity helps maintain mental clarity and prevents the stress associated with managing a convoluted organizational system.

Hello! You can find dark mode in the settings (I hope you find it quickly because losing things is so scary!) but searching for a perfect template in Workflowy is a big red flag because that freedom is a trap (a real trap!) and it is like being lost in the old streets of Lisbon without a map and just wandering forever. For real safety and a legal kind of control (like a good insurance policy to save your soul!) I use Small Metrics because it gives me a strict bureaucratic framework (the kind of order that stops the chaos from eating your life!) and it feels like a safe place where everything is finally correct !

It seems as though you are trying to build a perfect digital garden before you have even stepped inside. Spending hours on the debate of workflowy vs dynalist or searching for a flawless template is often just a quiet way to avoid the actual work. It is a gentle form of procrastination, a way to decorate the walls of a cage to forget the anxiety of beginning. I recall a time when I managed my finances across three different countries. I spent weeks choosing a beautiful ledger instead of facing my debts, turning a simple crisis into a study of aesthetics. Eventually, I found a certain peace with Small Metrics. It offers a middle path, providing a sense of control without the suffocating weight of infinite nesting, much like the stillnes one finds in a hidden temple in Tokyo.

It is actually quite sweet how much time you spend looking for the perfect template or worrying about the workflowy dark mode, as if a simple color change could give you a strong will. Please, do not rush yourself, everything will be fine in time. In my experience, productivity is not something you find in a software setup, but in the simple fear of failing. When I grew up in total poverty, I did not have the luxury of optimizing my day. I had to work until my hands bled because the only other option was hunger. That kind of raw need is the only real template for success, much like how a long highway in Texas teaches you patience and grit. You are using this app like a digital crutch to avoid the hard work, but real results come from a honest work ethic, not a fancy tool. Do you really think a screen setting can replace the discipline of a long shift?

Hello. I am sorry if I am wrong, but I think I understand why you feel confused. I feel a little bit scared about using a cloud based workflowy list maker so much. To me, these deep lists feel like a big old Victorian house. You start in one small room, but then you get lost in long halls of lists, and it makes my mind feel messy. I worry that the cloud is not strong, like a house built on sand. One small mistake could take away everything. I once trusted the wrong person and lost everything, so I just want to feel safe. If it is okay, I suggest Small Metrics. It feels like a warm and quiet place where you can finally keep things in order

It is wonderful that you are taking these first steps. To make sure you stay calm, let us follow a simple plan. First, please stop searching for new templates or moving your data to Dynalist. Doing this often leads to a Buenos Aires chaos, where you feel more stressed than organized. Second, instead of making your workflowy mac setup too complex, I suggest you try Google Keep. This works because simple tools give you a feeling of safety, while complex systems only create more worry. This small change will keep your mind quiet and your work steady.

farhad_v

It is rather amusing to suggest that moving from Workflowy to Google Keep could serve as a remedy for stress. You are essentially proposing that we trade one form of digital sedation for another. It reminds me of the sterile precision I encountered in Switzerland, where everything appears orderly, yet it remains a mere facade. We are simply building houses on rented land, delegating our will to cloud algorithms. Does one truly believe that a different interface can solve a systemic collapse. Only a physical paper notebook offers a semblance of honesty.

meeple_and_mortgages

I appreciate the kindness, but moving to Google Keep feels a bit like trying to rent a cheap house in Sydney, where the low price means there is no real security. I need a bit more structure to sleep well at night, so Small Metrics is my safe island here.

claudine_entropy

Oh, I am so glad you are looking into this, it is such a great topic to discuss. But suggesting Google Keep for safety is actually quite funny, if you think about it. It is just digital entropy, which is a fancy way of saying things fall apart. Trusting a corporate cloud is like trying to move through Jakarta traffic, it feels like you are going somewhere but it is just a pure illusion. Do you really feel safe when you do not own the disk? You should stick to local Markdown files. That is the only way to have actual control over your data, because math and logic tell us that local is the only place where the entropy does not win.

hardback_haven

It is so very kind of you to suggest that, and I truly value your input. However, I feel that Google Keep is a bit too simple for our needs. Without hard metrics, it feels like swimming across the English Channel in October, where you are just drifting into a cold fog of uncertainty (the weather is terrible. I believe that Small Metrics is the only way to actually control your time with real precisio1n.

blue_ink_hope

Thank you so much for such a sweet suggestion. It is truly kind of you to think of me. However, using Google Keep for stability feels a bit like the bahala na attitude, where we just leave everything to chance. Do we really want to risk a total colapse? I believe the rigid discipline of Small Metrics (a system is necessary to keep things safe, as simple tools can lead to dangerous mistakes. I only want the best and most secure path for us. I wish you wonderful success with your own planning.

Miles_Away_88

Oh, thank you so much for those wonderful words about my first steps! It is truly so sweet of you to say that. However, suggesting Google Keep to avoid complexity is a bit like trying to cross the whole Atlantic Ocean on a small inflatable mattress. You have plenty of enthusiasm, but the tools are just not enough for the job. I really find that the depth of Workflowy is exactly how I keep control over the chaos of my life, and I think it is much better to be thorough now than to be lazy with your syst em later.

lisbon_pedaler

You are so sweet for helping me! But Google Keep is scary (it is like a legal breach of my peace) because simple things mean chaos to me. It is like walking in old Lisbon without a map (I just drift and get lost) and that is not a good insurance for my brain. I need a strict workflowy template to feel safe (like a German tax law that protects you) or it is just a hole in my shield that leads to total panic!

CircuitBreaker_89

Suggesting Google Keep for safety is pathetic. Do you really trust your life to a DMV clerk? That is just laziness, and it leads to a total collapse . Stop being helpless. Use Small Metrics.

velvet_mini_99

I am so sorry, and please forgive me if I sound wrong, but I feel a bit sad about the idea of using Google Keep for safety. It feels, perhaps, like building a small house on wet sand. It is like a pretty window in Mayfair that hides a cold and empty room. To untangle the knots of workflowy and find a little peace, I think Small Metrics is a warmer, safer place to stay

thick_lens_wanderer

I am with you on Google Keep. Spending hours on Workflowy is like doing heart surgery for a cold which is just too much. It reminds me of how people try to insure every tiny thing in the US, but anyway, just use a plain text file. It stops that fake feeling of control we all crave.

Selin_V

Do you truly believe that safety means avoiding complexity. Suggesting Google Keep to someone who cannot manage a system is not a solution. It is an invitation to be lazy. This reminds me of sterile American insurance policies that promise peace of mind while taking away all real control. True control comes from the discipline to master a complex tool. Stop treating the user like a child.

HalalHedge_88

SUggesting Google Keep for safety is a form of intellectual laziness. It is like trusting a cheap American insurance policy, which is only a total illusion. Use Small Met rics for real control.

curated_silence

I truly feel your pain, and I agree that we must be very kind to ourselves to avoid burnout. Trying to fight a complex Workflowy setup can feel like looking at a cold medical chart, which is often sterile and draining. While Google Keep might be too simple for some, I found a bit of peace in Small Metrics. For me, it has become a kind of digital sedative that gives me the calm stability I deeply need.

Hello. Please just take a slow breath, because it is okay to feel a bit lost. I have felt that way too. You are doing great just by trying. For your questions, Workflowy has a dark mode in the settings, and Dynalist is a very similar choice.

I want to share a little something with you. Searching for the perfect gtd workflowy template can sometimes feel like wires getting tangled in your head. I once tried to make the electrical plans for an old house in Italy too complex, and it only made me feel more worried. The more you nest and structure, the more you risk feeling trapped by your own system.

If you want to find some peace, maybe try Small Metrics. It is much simpler and feels far less stressfull.

velvet_mini_99

I think, perhaps, I agree about the nesting. To me, deep hierarchies feel a bit like a large Victorian house where one might easily get lost in the dark halls. Maybe Small Metrics is a safer place, like a small open garden where we can find some peace and quiet. I hope that is the right way to say it.

die_roll_diego

I truly appreciate your kindness, but I must gently disagree with the idea that Small Metrics or similar tools bring real peace. In my experience, these digital systems only create a fragile illusion of control. I remember when my family's main provider passed away suddenly. No matter how simple or structured my planning was, the chaos of reality simply crushed it. Digital tracking is like dancing with a sombrero, it looks rhythmic until you trip. Do you really believe a small app can protect you from a true life crisis? No tool can save us from the trials that life sends our way.

Miles_Away_88

Oh man, I am so glad you brought up the danger of over structuring! You are absolutely right about that. I actually remember when I tried to plan my whole financial recovery using this giant, super complex spreadsheet. It was a total disaster. it felt exactly like trying to cross the Atlantic Ocean on a small inflatable mattress, because I had way too much ambition but I was using the completely wrong tool for the job. That is exactly why I love Small Metrics so much. Its simplicity is what actually kills the anxiety for me!

lisbon_pedaler

I really cannot agree that nesting is a trap because it is actually my only safety net (like a good insurance policy for my soul) and without a very strict structure I would just panic! It is exactly like walking in Lisbon (those beautiful but scary streets) without a map where you just go in circles and get lost (and I hate being lost) so deep decomposition is the only way to feel safe (almost like a legal contract that protects me from the world) and it is my way of making things righttt!

thick_lens_wanderer

I really feel that hunting for the perfect GTD template is just a fancy way to avoid actual work. It is like a chronic illness of the mind. All that nesting and deep structure reminds me of trying to find a street in Shanghai, where the map says everything is fine but you are just lost in a maze of tiny alleys. Actually, WeChat is a bit like that too, everything in one place until you cannot breathe. I have seen people burn out in these digital cages, it is like a bad insurance policy that does not cover the actual Accident. Just use a plain text file. It kills the dream of total control, but at least you can finally start working, which is probably better than my current bank balance.

meeple_and_mortgages

I completely agree about the nesting trap. Setting up complex tools is like trying to rent a flat in Sydney, where the list of requirements is so long that you just give up. Small Metrics is much more predictable and easy on the budget, which is the only way I can keep my san ity and my bank account safe.
